The importance of report writing for Building Inspectors

Report Writing

Every building inspector should have a clear understanding on report writing and the importance of writing  their reports clearly, detailed and accurately to help prevent potential claims against their building inspectors insurance.  Ultimately, the report is the responsibility of the building inspector and if employees write on behalf  of the company then proofreading the report by the Building Inspector is essential prior to sending it to your client.

Report writing must meet Australian Standards, which is required for professional indemnity and public liability insurances.

Things to note:

  • Your name and date
  • The address of the property inspected
  • Reason for inspection
  • The overall property condidtion
  • Problems that need fixing
  • Areas that were not inspected and why they were not inspected
  • Your recommendations
  • Photographic evidence: including roof space, interior/exterior, pool, roof exterior, garage, sheds, under floor, stairs, fencing, pools, stormwater, paths, retaining walls, external laundry and/or toilet, driveway, path, pest damage, pergolas
  • A detailed summary

Understanding the Australian Standards

Understanding the Australian Standards is integral to writing solution-based inspection reports. Australian Standards (AS) 4349 Series should be every inspectors referenced bible, as failure to comply with the guidelines set out in these standards can result in sever legal penalties. Although the Australian Standard is not a legal document it can often form part of legal proceedings when situations go wrong.

Report Writing

Report writing is a unique skill that must be implemented into every inspectors training program. If you have staff that type up your reports it is imperative that you the inspector proof read all reports before sending to your clients.
